Billing Question

My usage of Cheddar is tied to Assembly, and that system is tied to a web app based on Python.

We have an implementation wherein a single user is responsible for billing for subaccounts. It is a donor matching program. The business has a master admin account that is billed, they send a signup link to their employees to sign up and donate, the employees have a credit card that is now being billed, and the employees charge is matched automatically by the admin account. This system is currently working well.

My question is, can we set up a scenario where the master/admin account is charged on a quarterly, bi-annual, or annual basis versus a monthly one or can we set up a scenario where the master/admin account isn't charged at all and they are billed for their portion to be paid via a check.

    Hi Jared,

Yes, all of that should be possible!

To set up different billing frequencies you'll need to create some new pricing plans in your Cheddar dashboard here. The frequency at which a Cheddar customer account (in your case, an admin account) is billed is determined by the pricing plan the customer is subscribed to. Each plan can only have a single frequency (monthly, quarterly, semi-annually, annually, etc), so you'll need to create a plan for each billing frequency you'd like to use.

To charge a customer outside of Cheddar via check, you can set their payment method to external. When a customer has an external payment method, Cheddar will still keep track of their billing cycle and fees, but when the customer's bill becomes due we'll simply mark the invoice as paid rather than trying to run it through your credit card payment processor. You can use our webhooks system to be notified when an invoice for a customer on an external payment method has become due, so you can then run the invoice through an external payment system.

Hope that helps, but let me know if you have any follow up questions, Jared!

    Meghan
